On behalf of the Board of Directors, it gives me great pleasure to invite you to join us for ACIPC 2017 in Canberra, Australia.

ACIPC 2017 promises a wealth of interest as we tackle the challenges and embrace the opportunities for the future of our profession. Held at the National Convention Centre, Canberra, ACIPC 2017 will broker new dimensions and frontiers in education, research and practice in infection prevention and control as we together prevent and control infection in our communities. And where better to do so than in Canberra, Australia’s national capital. Whether it’s world-class food & wine, iconic national treasures or landmarks, everything Canberra has to offer is in short reach.

Presentation Format Types

Authors should advise a preference for the type of presentation:

Presentation Type: Oral presentations

Time Allocation: 17 minutes presentation (including 2 minutes question time).

Oral presentations may be original research, case presentations, divisional projects or analytical studies. Where possible, presentations with a similar theme will be grouped together.

Presentation Type: Poster presentations

Time Allocation: Displayed during the Conference

Posters can present research in progress, case studies, divisional projects or clinical topics.

Display posters will be A0 size in portrait orientation (84.1cm wide x 118.9cm high) (33.11 x 46.81 inches).

Presentation Type: ePoster presentations

Interactive electronic poster will be displayed on screens in the exhibition & poster display areas. Refer to the ePoster Guidelines for further information.

IMPORTANT: Should your research refer to medical devices, please note that your abstract and poster/presentation must comply with the Medical Technology Industry Code of Practice Guidelines.

Abstract preparation guidelines for all presentations (oral/poster/eposter)

All abstracts must:

  • Be submitted via the online abstract submission portal.
  • Use single spacing only.
  • Leave one line between paragraphs.
  • Specify all abbreviations in full at the first mention, followed by the abbreviation in parentheses, thereafter abbreviation only should be used.
  • Be written in English.
  • Check abstract thoroughly for spelling and grammar.
  • Do not include references.


  • Please complete all author details requested in the on-line portal. Note the submitting author will be considered the principle point of contact for all communication regarding the abstract including acceptance notification.

Disclosure of Interest statement

The Australasian College for Infection Prevention and Control (ACIPC) recognises the considerable contribution that industry partners make to professional and research activities. We also recognise the need for transparency of disclosure of potential conflicts of interest by acknowledging these relationships in publications and presentations.

Note: If accepted into the program you will be requested to include a disclosure of interest slide into your presentation or include such statements in your poster.

Abstract publication in Infection, Disease and Health

All accepted abstracts will be published online in Infection, Disease and Health, the official journal of the Australasian College for Infection Prevention and Control (ACIPC).

The journal aims to be a platform for the publication and dissemination of knowledge in the area of infection and disease causing infection in humans. The journal is quarterly and publishes research, reviews, concise communications, commentary and other articles concerned with infection and disease affecting the health of an individual, organisation or population.

The original and important articles in the journal investigate, report or discuss infection prevention and control; clinical, social, epidemiological or public health aspects of infectious disease; health economics, policy and planning for the control of infections; zoonoses; and food hygiene and vaccines related to disease in human health.

The audience of the journal includes researchers, clinicians, health workers and public policy professionals concerned with infection, disease and health.

Selection Criteria

Abstracts will be favoured at review if they incorporate original data of high quality and/or an analysis that extends existing knowledge.

In balancing the program the committee may require authors to present their work in an alternate format (eg as a poster rather than oral presentation) particularly as limited spots are available for oral presentations.

Submitting your abstract

Abstracts must be submitted electronically through the abstract submission portal. You will be required to enter:

  • The title of your abstract
  • Preferred presentation type
  • A theme most suitable to your abstract
  • Authors’ names (indicate presenting author), affiliations, and biographies (presenting author only).
  • Abstract (maximum 250 words)
  • Your abstract should be set out as Introduction, Methods, Results and Conclusion format.
  • If easier users can copy and paste an abstract and biography from a word processing doc directly into the submission portal.
  • Any conflicts of interest(s).

Please contact Conference Design (mail@conferencedesign.com.au) if you are unable to lodge your abstract via the portal or if you have any queries.

By submitting an abstract all authors agree to release the content to the Conference organisers and give permission to publish the abstract in the conference publications and on the website, and in so doing certify that the abstract is an original work.


*If your abstract does not conform to the guidelines, including if it is over 250 words it will be returned to the submitting author to revise.

*Abstract presenters will be required to fund their own attendance at the conference and should not submit an abstract if this is not possible.

All presenters (including posters and ePosters) will be required to register for the conference by 6th October 2017. It will be assumed that any presenter not registered by this date has withdrawn from the program and their abstract will be removed from conference publications.

Abstract selection process and notification

  • Abstracts will be reviewed & selected using pre-defined selection criteria
  • A program build meeting is held to identify top ranking papers that fit into sessions on similar topics
  • Unsuccessful abstracts submitted for oral presentation will be offered a poster presentation if selection criteria are met
  • No correspondence will be entered into with the committee or conference secretariat on why individual papers did not get an oral presentation
  • Abstract authors will be notified of acceptance/rejection of abstract via email in early August 2017. All presenters (oral, poster, eposter) are then required to confirm their participation in the conference via return email

You are required to confirm your intention to present your selected oral presentation by email to mail@conferencedesign.com.au. If you have not confirmed your intention to present your oral presentation by Wednesday 16th August 2017 your presentation will be withdrawn from the Conference program

Speaker registration

All speakers are required to be registered to attend the ACIPC 2017 Conference. Please register through the delegate portal by Friday 6th October 2017.

Speaker biography

A brief biography of no more than 100 words is to be provided via the on-line abstract submission portal. Biographies may include presenter’s positions, career details and major work achievements to date. Biographies should be written in third person. Your biography will be used when introducing you as a speaker at the conference.

AV Requirements

Please provide any specific audiovisual requirements to the Conference Secretariat at mail@conferencedesign.com.au. Your presentation should be created and presented in PowerPoint. Each meeting room will be equipped with data projection facilities, lectern, microphone and a laser pointer.

An audio visual operator in the room will control the presentation, lights and audio and will be able to assist you with any questions. Please ensure you take the time to familiarise yourself with the technology prior to your presentation.

Please ensure your presentation is brought to the conference on a USB Stick for uploading.

PowerPoint Presentation Tips

  • All text should be in PowerPoint, preferably in light text on dark background
  • Powerpoint should be in 16:9 aspect ratio
  • There should be no more than 5 x 1 line bullet points per slide
  • Optimum title text is 45 – 55 points and no smaller than 36 points
  • Body text should be at least 26 points
  • Avoid UPPERCASE letters as they are hard to read
  • lease keep to the time limit of your presentation

Poster Presentation guidelines

The poster should be a visual presentation of your submitted abstract and should meet the following criteria:


The title should be the same as in the submitted abstract.


The poster must A0 size (A0 size is 841mm x 1189mm) in portrait orientation.


The poster should be easily readable at a distance of two metres. Use UPPER and lower case for general content as the use of all-capital text is difficult to read. Avoid using a mixture of type/font styles.


Include the title of your presentation at the top of the poster. Characters should be a minimum of 48 point font size. Your name, School or Centre should also be displayed on the poster. HEADINGS 48 to 60 point font size is recommended for headings.


24 to 32 font size single spaced is recommended. The text should be concise and easy to read.

The message that your poster contains should be clear and understandable without the requirement of oral explanation. If relevant, methods should be presented simply and concisely.

After the title, the two most important panels are the Introduction and the Conclusion. On the basis of these two panels, a reader will decide whether to consider the poster details and perhaps talk to the presenter. These panels need to be very simple, concise and visually attractive. Results should be presented graphically if possible. Avoid large tables of data.

Results should be in line with those originally submitted in your abstract.

Use pictures, symbols and colour. Figure legends are essential and should be short but informative. If using graphs, they should have a short heading.

For visual effect, we recommend that graphs be no smaller than 12cm x 18cm. Photographs should be no smaller than 12cm x 18cm. Use the space to attract your audience for discussion, not to present complex details of methods and results.

Conference App

To have your poster displayed in the Conference App, upload a high resolution PDF version of your poster to the following DropBox link prior to 3rd November 2017.

This DropBox link will be active from 10th July 2017.

ePoster Presentation guidelines

Electronic posters will be prepared in PowerPoint (1 slide 16:9) and displayed during the conference on large flat screen monitors in the exhibition & poster display areas and on the Delegate App.

The ePosters will rotate automatically and each will be shown for one minute. Delegates will be able to pause posters to view them in more detail. There will also be an index to allow delegates to find an individual poster. In addition ePoster will be featured on the Delegate App along with the submitted abstract document and author bio.

At least one author listed on the ePoster abstract must be registered for at least one day of the conference (Monday/Tuesday/Wednesday) for the ePoster to be confirmed. Presenters must be registered by Friday 6th October 2017.

Accepted ePoster authors must submit their ePoster slide using the correct template via the provided DropBox link.

Link will be active from 10th July 2016.


All video and audio files must be embedded in your slide. As you will only be sending a single PowerPoint slide file, do not have links to any external media files. All videos, audio and animations should be set to auto play and finish within the one minute display time. We suggest you only embed one video or audio file and use animation sparingly.

Keep it Simple

Make your poster clear and clean, avoid unnecessary clutter and “special effects” that do not add value.

Keep the background simple and subtle; use a light coloured background for the main slide body.

Do not use WordArt, reflections, drop shadows, 3D, semitransparent fills or textured backgrounds; they are unpredictable and are not necessary.

For consistency amongst the ePosters, please only use Verdana font for your text. Verdana is universal and will transfer correctly when combine your ePoster into the scrolling presentation.

We suggest you include contact details for delegates who want to discuss your poster further.

The screen aspect ratio will be 16:9 and the template slide is already set up as a 16:9 slide.

At the conference

Speaker’s Preparation Room

Please proceed to the Speaker’s Preparation room at least 4 hours prior to or the day before your presentation. A technician will be available in the speaker’s preparation room to load your presentation and to discuss any audiovisual queries you may have. You will also have the opportunity to practice your presentation. If you are not providing slides for your presentation, please advise the AV technician in the Speaker’s Preparation room 4 hours prior to your session.

Presentation Consent Form

At the speaker’s preparation room you will be provided with a presentation consent form. You will be asked to complete the form when loading your presentation.

Media and privacy

Allow your PowerPoint to be accessed on the ACIPC 2017 Conference website.

Speaker presentations will be published on the conference website post conference. We require all speakers to provide permission for their PowerPoint presentations to be published. All presenters will be given the opportunity to submit a revised PowerPoint for publication on the website.

Media contact. A media contact will be on site who may contact you due to interest from the media. All data and information from abstracts or presentations is embargoed until the date of the conference presentation as outlined in the conference program unless indicated otherwise. We kindly request that all media co-operate with this policy.

Allow audio recording/webcasting. Your presentation may be chosen to be audio recorded although this has not been confirmed.

Cancellations and substitutions

Please avoid late cancellations or substitutions as marketing material including the conference program with the speaker’s name and organisation will be pre-printed and cannot be removed at a later date. If you need to cancel or substitute speakers please inform Conference Design at mail@conferencedesign.com.au as early as possible.

Each display panel will be identified by number so that you are able to find the area corresponding to your poster. If you have any questions on the day please make your way to the conference registration desk.

Peer Review Presentations

Peer reviewed oral presentations

All abstracts are subject to a double blind review, undertaken by at least two reviewers. Reviewers’ recommendations and scores will then be assessed by the Scientific Organisation Committee. All accepted abstracts will be published in a special online edition of Infection, Disease and Health.

Peer reviewed poster & ePoster presentations

All abstracts are subject to a double blind review, undertaken by at least two reviewers. Reviewers’ recommendations and scores will then be assessed by the Scientific Organisation Committee. Accepted posters will be displayed in a dedicated area. An evening function showcasing the posters will be held. Prizes/awards for the best poster(s) are on offer. E-posters will also be offered and electronic e-poster display boards will be located at the conference venue. All accepted abstracts will be published in a special online edition of Infection, Disease and Health. The conference app will contain a pdf of posters, when they are supplied as requested by the conference manager.

Prizes & Awards

Prizes will be awarded in the following categories 

Best Oral Presentation: The winner as judged by the ACIPC Research Committee will be awarded the Elaine Graham Robertson award compromising a plaque and cheque to the value of $500.

Best Poster Award: There will be two best poster prizes awarded at the conference; one judged by the ACIPC Conference Scientific Committee and one delegates choice. Both winners will be announced at the closing session and awarded a plaque.
